How to successfully pack and move your office
Start early and plan ahead
The key to a successful office move is to start early and plan ahead. This will give you plenty of time to pack everything up and make sure files and items are in order before the big day arrives.
Start by creating a timeline that outlines all the tasks that need to be completed before the move. This could be hiring a moving company, ordering packing supplies, or notifying clients and customers of your move.
Get the right materials
To ensure that your office move goes smoothly, it’s essential to get the right packing materials. This includes boxes of various sizes, packing tape, bubble wrap, and markers. When selecting boxes, make sure they are sturdy and can hold the weight of your items.
Label everything clearly
One of the most important aspects of packing up an office is to label everything clearly. This will make it much easier to unpack and set up your new space. Use a system of colour-coded labels or numbering to identify each box’s contents and where it should go in the new office.
Take inventory
Before you start packing, take inventory of all the items in your office. This will help you determine what you need to move and what you can leave behind. It’s also an excellent opportunity to get rid of any old or unnecessary items. If there are items you don’t need immediately or furniture getting in your way, consider renting a business storage unit to safely store them during the transition.
Pack carefully and efficiently
When packing up your office, it’s essential to pack everything with care. Use bubble wrap to protect fragile items such as computers, monitors, and printers. And be sure to fill any empty spaces with packing material to prevent items from shifting during transit. It’s also a good idea to pack heavier items in smaller boxes so that they are easier to lift and move into your new space.
Prepare for moving day
On moving day, make sure everything is packed and labelled correctly. Take a final walkthrough of your old office to ensure that nothing has been left behind. When the moving truck arrives, let the movers know where each box should go in the new office. Once everything is unloaded, do a final check to make sure everything has arrived safely.
10 Expert tips for a smooth office relocation
Backup all digital files
A lot can disappear during a move, so it’s vital that you backup all digital files and keep a copy off-site. The same also applies to hard copies of important documents.
Update your mailing address
Inform all vendors and service providers that your business has a new home and provide them with your new mailing address. This will avoid any disruption in services or confusion when you’re settled in.
Notify your IT department
Notify your IT department of the move and make sure that all equipment is properly disconnected, moved, and reconnected.
Check parking
Depending on where your new office is, there might be parking restrictions. Check parking availability for movers to avoid problems on moving day.
Plan for unexpected delays
Delays are guaranteed with almost every big relocation. Prepare for unexpected hurdles, such as traffic or weather, and make contingency plans to ensure you stay on track.
Update your insurance policy
Update your insurance policy to reflect the new location and any changes in the value of your equipment.
Consider a phased move
A phased move, where departments are moved one at a time, can be less disruptive to business operations and make the whole relocation a lot smoother.
Prepare a welcome package
Prepare a welcome package for employees that includes a map of the new location, a list of nearby restaurants and coffee shops, and any other relevant information to help them adjust to the new office.
Office Relocation FAQs
What is involved in an office move?
Moving an office is like playing a giant game of Tetris, but with furniture and equipment instead of blocks! You’ve got to pack up all your stuff, transport it to a new location, and then set it all up again in a completely new space.
Before you start the move, you’ll need to create a detailed plan of attack. This means figuring out what tasks need to be done, and when they need to happen. You’ll probably need to declutter and organise your current space, notify vendors and service providers of your new address, and pack up everything from staplers to desks.
Communication is also a key part of any office move, so be sure to keep your employees in the loop about what’s happening. And don’t forget to label all your boxes and equipment, so you can find everything quickly and easily when you get to the new space.
Finally, be prepared for the unexpected. Murphy’s Law says that anything that can go wrong, will go wrong, so make sure you have contingency plans in place. That way, you’ll be ready for any surprises that come your way.
How long does it take to relocate an office?
A small office with only a few employees and minimal equipment may only take a day or two to pack up. However, a larger office with 20+ employees and lots of equipment may take several days or even weeks to pack up.
To make the process more efficient, it’s important to have a plan in place and to start packing early. You can begin by decluttering and organising the space, then packing up items that are not used on a daily basis. This will help to minimise disruption to your business operations and make the final move less stressful.
Should I rent a storage unit for my office move?
Yes! A storage unit offers businesses a secure and convenient place to store items that may not be needed immediately in the new office space. This can include excess furniture, equipment, documents, and files that are not used regularly. By storing these items in a separate location, businesses can free up valuable space in their new office and reduce the risk of damaged equipment and furniture.
